【Note】The black square (◼️) at the beginning of a folder name indicates that the center-related documents are on Google, while the white circle (○) indicates that the documents are on the NPO Center's Dropbox server. In the future, we plan to move past files from Google Docs to the center's dedicated Dropbox server.
For smooth workflow
Document Management Regulations
1. 📂[Documents are primarily stored in the cloud]
Save documents to cloud storage like Dropbox or Google Drive, and avoid saving them only to a local PC or USB drive.
2. 🗂 Organize folders by fiscal year and category
Example: Dropbox Folder Structure
Folder names should include "Fiscal Year" + "Document Type"

Examples:
- 2025-06-30_Yamada_BoardMeetingMinutes.docx
- 2025-05-10_Sato_ZoomInvoice.pdf
→ Always include the creator's name and creation date in the filename to clarify the revision history and accountability.
4. ✅【Clarify Document Approval and Finalization Process】
Create drafts in your "Personal Folder" and move them to the "Shared Folder" once finalized.
5. 🖊 [Approvals recorded with online signatures]
Utilize Jotform, PDF signatures, etc., to store approved documents with signatures
6. 🔐【Minimum Access Privileges and Regular Review】
Clearly define who can access which folders (e.g., read-only, edit permissions)
7. 🆘 [Prepare for backup and recovery]
Dropbox and similar services have "version history" and "deleted file recovery" features.
